Variable data printing

One design. The right version for every recipient.

Change names, offers, images, languages, locations, codes, or other content from piece to piece—without building every version by hand.

Version 01
Hello, Sarah.

Your Valencia location has an offer selected for your area.

Version 02
Welcome, Daniel.

A different message, image, offer, and unique response code can appear here.

Store 142
Built for each location.

Store details, pricing, dates, and fulfillment quantities can follow the data.

More than a mail merge

Variable data connects the printed piece to the record behind it.

A supplied data file controls which approved content appears on each printed piece. The change can be simple—such as a name and address—or it can control the message, image, offer, language, location information, and unique code.

We help determine which fields need to change, how the rules should work, and what should happen when a record is incomplete. The result is a production file that can be tested, approved, printed, and reconciled.

Levels of variability

Use only the amount of personalization the project needs.

Not every campaign needs one-to-one creative. Sometimes a small number of well-controlled versions is the clearer and more economical approach.

01 / PERSONALIZED

One record, one piece

Names, addresses, account details, images, offers, or response codes can change for each person or household.

02 / SEGMENTED

Versions by audience

Creative can change by customer group, sales territory, language, membership level, buying history, or another defined segment.

03 / LOCATION-BASED

Materials for each site

Store numbers, addresses, prices, dates, managers, maps, and quantities can be tied to the location receiving the material.

Practical uses

Built for campaigns, programs, and complex rollouts.

Variable data is useful anywhere accuracy, relevance, tracking, or version control matters.

01

Personalized direct mail

Recipient-specific messaging, imagery, offers, addresses, and trackable response codes coordinated with production and mailing.

02

Multi-location campaigns

Store-specific signage, handouts, pricing, event dates, contact information, kit labels, and pack quantities.

03

Unique codes and numbering

QR codes, barcodes, sequential numbers, claim codes, tickets, certificates, or other unique identifiers.

04

Matched and versioned components

Letters, cards, envelopes, labels, inserts, and kit contents produced with controls that help the correct pieces stay together.

A controlled workflow

Prove the logic before the full run.

Variable production depends on the relationship between the artwork, the data, and the rules. We review them together before release.

STEP 01

Define

Confirm the piece, audience, variable fields, versions, quantities, finishing, delivery, and timing.

STEP 02

Build

Connect the approved design to the data and establish the rules for text, imagery, codes, and exceptions.

STEP 03

Test & approve

Proof representative records—including long names, each version, and special cases—before production.

STEP 04

Produce & reconcile

Print, finish, match, mail, kit, or ship according to the approved production plan.

What makes it work

Good data and clear rules come first.

Variable printing can simplify a complicated program, but it needs careful setup. The best starting point is a sample data file, representative artwork, and a clear explanation of what should change.

We will help identify missing details and determine the appropriate proofing and production method for the job.

Consistent, clearly labeled data fields
Approved rules for every version and exception
Artwork designed for the longest expected content
Representative records for proofing
A secure method for transferring sensitive data
For a useful estimate

Send what you know about the piece and the data.

A sample file with placeholder information is enough for an initial conversation. Please do not email confidential customer data unless a secure transfer method has been arranged.
